Non-school day ({{glossary.NSD}}) sites are designed as a way for your program or district to offer child care on non-school days with {{variable.Product}}.

The {{glossary.NSD}} Only contract type gives you the option to allow registration for students that only need care on Non-School Days (with no contract for regular care).

When a {{glossary.NSD}} Site is added, users with any other child care contracts can also register their children for non-school day care.

Non-School Day Only Contracts

A {{glossary.NSD}} Only contract allows the account owner to create a contract for the student to attend only when non-school day care is available. The contract types available for a Season are set up under Registration Options.

Enabling Non-School Day Only Contracts

To enable {{glossary.NSD}} Only contracts from the {{variable.AP}}:

  1. Select Child Care > Registration Options.
    The Child Care menu displays the Registration Options

  2. Select your registration option from the list view.
  3. Click Modify.

  4. Under Registration Options, select Non-School Day.
  5. Scroll down to Non-School Day Options.
  6. Toggle if your program will Allow Online Public Registration for non-school days on the {{variable.PP}}.
    If Allow Online Public Registration is toggled to No, all Non-School Day Only contracts must be entered from the {{variable.AP}}.
    The Registration Options form displays the Consistent Schedule Options
  7. Toggle to set if Registration Fees and Prepayment Apply.
  8. Click Save.

When the Non-School Day Only contract type is enabled in the Registration Options, {{variable.Product}} automatically creates a Child Care Site named Non-School Day Only for your Program and Season.

Modifying The Non-School Day Only Site

The Non-School Day Only site for your Program and Season is created to act only as a registration bucket that allows users to register for a {{glossary.NSD}} Only contract.

It is recommended to make some modifications to the child care site that {{variable.Product}} automatically generates.

To modify the {{glossary.NSD}} Only child care site from the {{variable.AP}}:

  1. Select Child Care > Sites.

  2. Select the Non-School Day Only site for your program and season.
  3. Click Modify.
    The Action menu displays the Modify option
    The Editing Child Care Site screen is displayed.
  4. Update the Name.
    It is advised to choose a name that communicates to users that they are registering for Non-School Days Only.
  5. Enter or confirm the Tuition Budget Code and Administrative Contact information.
  • Optional: Click More Options to enter a seperate Registration Fee Budget Code or add a Federal Tax ID.
  1. Toggle if your program will allow Online registration for {{glossary.NSD}} Only contracts on the {{variable.PP}}.
    If the site is available for online registration, it will display as a site for users to choose from.

  2. Select a date and time for Registration Start.
  3. Select a date and time for Registration End.
  4. Optional: Enter any Confirmation Notes.
    Confimation Notes are only sent to users when their contract is accepted.
  5. Optional: Enter any Online Instructions.
Note:
  • This text is displayed at the beginning of the registration process for Non-School Days. You may want to list your current schedule types and rates for your users.

  1. Optional: Enter Contact Information for the Non-School Day Site.
    You can enter an email address, phone number, or fax number.
  2. Optional: Select one or more Agreements.
    Agreements that child care account owners must complete before registering are attached to the site.
  3. Optional: To add a question, click Add Question.
  4. Optional: To add a question template, click Add Question Template.
Note:

It is advised to include the same agreements or question templates associated with your regular care sites. Including them here will ensure users registering for {{glossary.NSD}} Only contracts answer the same agreements or questions as those with regular care contracts (including health information, doctor’s phone numbers, and special needs, etc).

  1. Click Save.

Once saved, {{glossary.NSD}} Only contracts can be entered from the {{variable.AP}} or {{variable.PP}} (if Online is enabled). Dates and locations for the care can not be selected until a Non-School Day Site is created.

Creating a New Non-School Day Site

Creating a {{glossary.NSD}} site in {{variable.Product}} links the registration option and the Child Care Site to a location and allows you to set specific registration details for the {{glossary.NSD}} Site.

Note:

You can create as many {{glossary.NSD}} Sites as your program needs. Each can be assigned to different locations and different rates for care.

To create a new {{glossary.NSD}} Site from the {{variable.AP}}:

  1. Select Child Care > Non-School Day Sites.
    Opening the Child Care menu displays the Non-School Day Sites option
  2. Click Add.
    The Action menu displays the Add option
    The New Child Care Site screen is displayed.

  3. Enter a Name for the site.
    It is advised to rename the site to communicate to users the location and that they are registering for Non-School Days Only.
  4. Select your Program.
  5. Select the Season.
  6. Toggle if this {{glossary.NSD}} Site will Use Specific Budget Code.
    If Yes, enter the Budget Code to be used for the site.
  7. Optional: Verify or enter your Federal Tax Id.
  8. Select your Location.
Note:

You must select a building or complex already set up in {{variable.Product}}. If a managed location is selected, a facility request is generated and will require approval by a facilities admin.

The Add New Non-School Day Site form displays the Facility Request options

  1. Toggle if the Entire Location Booked.
    If No, select one or more Rooms. If the location is not managed in {{variable.Product}}, toggle Entire Location Booked to Yes.
  2. Select your {{glossary.NSD}} using the calendar or enter the Dates.
  3. Enter your Start Time and End Time for {{glossary.NSD}} care.
Note:

If your site or program is set to charge a fee for a late pick-up or early drop-off, {{variable.Product}} uses these start and end times to apply those fees.

  1. Optional: Enter Setup and Takedown times for the {{glossary.NSD}} Site section

  7. Optional: If you have additional locations to add to this {{glossary.NSD}} Site, click Add Additional Facility Series and repeat steps 8-13.

Any additional locations added to the {{glossary.NSD}} site in this way will appear on the same rosters, and

  1. Toggle if users can register for this site Online on the {{variable.PP}}.
    If no, skip to step 19 below.
Note:

Your users will not be able to select dates and locations for {{glossary.NSD}} care until you assign that site to an existing rate or create a new one.

The New Non-School Day Site form displays the Online options

  1. Select your Resgistration Type: Simple Registration or Per Day Registration Periods.
Note:

Simple Registration sets the same online registration start and end dates for all care dates at the particular Non-School Day site.
Per Day Registration allows staff to set unique online registration start and end dates for each date in the particular Non-School Day site and allows you to take individual registration dates offline to prevent further registrations.

  • If you select Simple Registration, enter the Start Date and Time and End Date and Time for registration.
  • If you select Per Day Registration, select each date that can be registered and enter the Start Date and Time and End Date and Time for each date.
  1. Optional: Select one or more Agreements.
    Agreements that child care account owners must complete before registering are attached to the site.
  2. Optional: Enter any Confirmation Notes.
    Confimation Notes are only sent to users then their selected contract dates are accepted.
  3. Optional: If you are using {{variable.CCAA}}, follow the steps below.

  • Enter your Access Key.
    An Access Key is required to access the {{glossary.NSD}} Site from {{variable.CCAA}}.
  • Toggle if the {{glossary.NSD}} Site will Allow Drop-Ins on-site.
  • Toggle if you are using Security Codes.
    Sites using {{variable.CCAA}} can enable on-site security codes for authorized pick-ups requiring users to enter the code to pick up/drop off children.
  • Enter your On-Site Locations.
    This field designates the locations used at the site, such as “Gym” or "Cafeteria".
  1. Select the Regular Care Sites for your program.
Note:

Selecting the Regular Care Site will make this {{glossary.NSD}} Site the default option when your users register for {{glossary.NSD}} care. This will not prevent the selection of other sites for Non-School Days, but does encourage the use of the default.

  1. Enter the number of Maximum Participants for the {{glossary.NSD}} Site.
Note:

This number acts as a flag for the admins who are accepting contracts to indicate the number of contracts in the site section. The admins approving contracts can approve more contracts than what is set by the Maximum Participation number. {{variable.Product}} will display a notification that the current number of approved registrations is over the Maximum Participants. It will not stop users from registering online from the {{variable.PP}}, since all online registrations are submitted as pending.

  1. Optional: To add a question, click Add Question.
  2. Optional: To add a question template, click Add Question Template.
